Description of Duties:

Volunteer for Minds in Bloom!

Date: May 15, 2025
Location: Hotel Fort Garry
Time: 9:00 AM - 4:00 PM (various shifts available)


Join us for an inspiring day celebrating mental health, art, and community! Minds in Bloom is MDAM's fundraising and artistic design competition event, featuring a silent auction, art auction & competition, raffle prizes, and a special speaker panel.

We're looking for enthusiastic volunteers to help with:
Silent Auction & Raffle - Assist bidders & distribute prizes
Art Competition Voting - Hand out & tally ballots
Speaker Panel Support - Help our panelists & moderator
Guest & Sponsor Relations - Welcome attendees & guide sponsors
Set-Up & Tear-Down - Get the event ready & pack up after


Set-Up Crew - SHIFTS AVAILABLE


Shift: 9:00 AM - 11:30 AM, May 15, 2025
Volunteers Needed: 4-5
Description: Assist with setting up silent auction tables, raffle station, signage, registration, and artist displays. Ensure materials like ballots, programs, and raffle tickets are ready.


Guest & Sponsor Relations
Shift: 11:00 AM - 1:00 PM, May 15, 2025

Volunteers Needed: 3-4
Description: Welcome guests and sponsors as they arrive, provide event programs, direct attendees to their assigned tables, and answer general questions.


Silent Auction & Raffle
Shift: 11:30 AM - 2:00 PM, May 15, 2025

Volunteers Needed: 3
Description: Monitor the silent auction tables, assist bidders with questions, ensure bid sheets are used properly, sell raffle tickets, and support the closing process.


Art Competition Ballots
Shift: 12:00 PM - 1:30 PM, May 15, 2025

Volunteers Needed: 3
Description: Hand out voting ballots to guests, remind them when voting closes, and collect completed ballots at 1:30 PM to deliver to the tally team.


Ballot Counting
Shift: 1:30 PM - 2:15 PM, May 15, 2025

Volunteers Needed: 2
Description: Accurately count the collected art competition ballots and report the results to the event team before winners are announced.


Speaker Panel Support
Shift: 12:00 PM - 2:00 PM, May 15, 2025

Volunteers Needed: 1-2
Description: Assist with microphone setup and ensure panelists have what they need. Help coordinate any last-minute logistics for the speakers.


Event Floater / Runner
Shift: 11:30 AM - 3:00 PM, May 15, 2025

Volunteers Needed: 2-3
Description: Be on standby to assist with any last-minute needs, help with transitions, and step in wherever extra support is required during the event.


Auction & Raffle Closing Support
Shift: 1:45 PM - 2:30 PM, May 15, 2025

Volunteers Needed: 3
Description: Ensure a smooth close for the silent auction, confirm final bids, announce raffle winners, and assist with prize distribution.


Tear-Down Crew
Shift: 3:00 PM - 4:00 PM, May 15, 2025

Volunteers Needed: 4-5
Description:
Help pack up auction items, signage, and supplies. Assist with general cleanup and return of materials.

   
Skills Required:

~Excellent communication and interpersonal skills
~Organized and reliable
~Comfortable assisting guests, managing registrations, or supporting event logistics
~Friendly, enthusiastic, and passionate about mental health

   
Skills Gained/Related Careers:

Volunteers will develop skills in event management, customer service, communication, teamwork, and community engagement. Ideal for those interested in careers in non-profits, social services, mental health advocacy, fundraising, hospitality, and event planning.
