Description of Duties:

Career Trek is currently seeking an organized and proactive volunteer to join our team as an Administrative Assistant. Throughout your volunteer placement, we'll provide you with support, mentorship, and guidance. You will have the opportunity to learn skills like customer service, payroll set-up, donation processing, basic accounts payable, presentation skills, interpersonal, oral and written communication skills.


This position requires excellent written communication and interpersonal skills, exceptional attention to detail, and the ability to multitask effectively. This is an exciting opportunity for anyone looking for work experience in the Administrative or Human Resource field.


Responsibilities



  • Filling in cheque requisitions when needed and ensuring invoices are paid.

  • Reconcile monthly expenses

  • Assisting with job posting & background checks

  • Review, sort and distribute incoming and outgoing mail and couriers

  • Maintain and update electronic and paper files, records, and databases, ensuring confidentiality and data integrity.

  • Monitor and order office supplies

  • Provide administrative support to Board and Senior Management Team.

  • Coordinate and organize meetings, logistics, catering, and audiovisual setup.

  • Assist with travel arrangement for Senior Management

  • Minimal Reception duties

  • Data entry

Skills Required:

Qualifications:



  • Excellent communication skills, verbal and written

  • Post-secondary education in administration or human resources is considered an asset.

  • 2 years of related administrative experience in a professional working environment.

  • Proficient in using Microsoft Office software (e.g., Microsoft Office Suite) and office equipment (e.g., printers, scanners, Pitney Bowes Mail machine).

  • Experience using Payworks and a database software will be an asset.

  • Ability to prioritize tasks in a fast-paced environment and independently complete a variety of secretarial duties.

  • Demonstrated ability to effectively contribute to a team environment.

Working Conditions



  • We are located in the Exchange District (35 King Street) and our staff work from the office on Mondays, Wed, & Thursdays and the rest from home.

  • Our office hours are Mondays to Fridays, 8:30 a.m. to 4:30 p.m. This opportunity is a hybrid role and reasonable accommodations can be made around your schedule.

  • A stable internet connection is required to work from home. A laptop will be provided.
